引言：英语商务信函种类繁多，根据其功能来看，有推销信、要求函、回复函、下订单、通知对方已发货、通知对方无法发货、投诉信、感谢信、催款信等；根据其传输的内容性质，又可分为好消息信函(Good—news Let．ter)、坏消息信函fBad—news Letter)和劝说性信函fPer．suasive Letter)~大类别。商务信函应满足五个重要原则，即清楚(Clarity)、简明(Concisene

1、礼貌(Cour．tesy)、完整(Completene)和正确(Correctne)。其中的礼貌原则最难把握，但又十分重要。

一、礼貌策略的相关理论

礼貌原则一直是语用学的一个热门话题，莱考夫(Lakof)，里奇(Leech1，布朗(Brown)，列文森(Levinson)等学者都曾探讨过这一理论，其中，布朗和列文森的“面子保全理论Face—saving View)”和“面子威胁行为理论Face Threatening Act)”最为详细和透彻，也最适用于商务英语信函中的礼貌问题研究。“面子保全理论”是布朗和列文森于1978年在戈夫曼(Goffman)的“面子”概念的基础上提出的。布朗和列文森认为．面子是每一个有理性和具有正常交际能力的人的一种公共的个人形象，面子既可以赢得。也可能丢失。言语交际中对面子的威胁是无时不在的，所以必须采取礼貌补救策略给交际双方都留点面子，减少对面子的威胁程度。礼貌补救策略分为五个级别，依次为：(1)不使用补救策略、赤裸裸地公开施行面子威胁行为；(2)积极礼貌策略；(3)消极礼貌策略；(4)非公开地施行面子威胁行为；(5)不施行面子威胁行为。言语行为对面子的威胁程度越高，所需的礼貌补救策略级别越高。布朗和列文森认为，一般情况下，交际既要实现交际目的，又要讲求效率和礼貌。只有在情况十分紧急，对面子没有威胁或无需考虑对面子的威胁的情况下，才有可能不采取任何礼貌补救策略，公开施行面子威胁行为。

上述五个礼貌补救策略主要是针对言语交际的．而英语商务信函是一种非常重视礼貌的书面交际方式．不实施礼貌补救的情况非常少，但是在礼貌补救的具体做法上又主要运用了积极礼貌策略和消极礼貌策略这两种方法。积极礼貌策略是一种以“接近为基础的”礼貌补救策略，说话人往往强调共同之处，诉诸友谊或伙伴关系。布朗和列文森提出了15个积极礼貌策略，包括：寻求一致，避免不和，假设有共同点，以伙伴关系著称，提高听话人的兴趣，注意听话人的需要和夸张自己对听话人的兴趣、赞同、同情等。消极礼貌策略的基本要求是保护听话人的隐私和自我决策的权利，主要是以“回避”为基础的，包含说话迂回，

模棱两可，尊重对方，避免突出个人，表示悲观，道歉，减小对对方所施加的压力等1O种具体的礼貌策略。虽然这些积极礼貌策略和消极礼貌策略主要针对言语交际，实施者均为“说话人”和“听话人”，但这些理论在英语商务信函中也有所体现。

二、礼貌策略在英语商务信函中的体现将“面子保全理论”和“面子威胁行为理论”运用到英语商务信函中，我们不难发现，好消息英语商务信函传递积极的有利于对方的信息，因此没有

威胁对方的面子；坏消息信函传达不利于甚至伤害对方的信息，严重威胁了对方的面子：劝说性信函在一定程度上威胁了对方的面子。由于这三类信函对对方面子的威胁程度不同．因而采用了不同的礼貌策略来补救或保全对方的面子。

其一。好消息信函通常传递给对方的是积极的信息，例如积极性询问函、下订单、感谢函、确认函等，没有造成对对方“面子”的威胁．不会使对方感觉到“丢面子”。在写这类信函时，应使用积极礼貌策略，以迎合对方的“面子”需要。在谋篇布局上．好消息信函可采用直截了当的安排方式。一般采用直接演绎的篇章安排，重在信函的简洁和高效，使得读信者在第一时间内接受到好消息．满足对方的心里需求；然后再提供有关细节问题；最后以礼貌的方式结尾，或者表达希望继续合作的愿望。在遣词造句上，这类信函往往使用肯定句，句子的语气也是以对方为主的态度，并进行恰当赞扬、真心致谢。

其二，坏消息信函主要用来传达负面的、消极的信息，例如投诉信、撤销订单、发货延迟或通知客户无法供货等批评或拒绝类信函。很明显，这些信函不利于对方保全“面子”。甚至会严重威胁到对方的“面子”，所以写信时应特别注重礼貌补救策略的运用，以期将面子威胁降到最低程度，不破坏双方的合作关系。这类信函主要使用消极礼貌策略。在篇章安排上，坏消息商务信函的篇章安排恰好与好消息信函相反，往往采用间接归纳方式，其最大特色在于间接性和迂回性，即先给出解释理由，而后提出坏消息。间接归纳法能减少坏消息给对方带来的伤害。一封典型的坏消息英语商务信函一般都有一个“缓冲”，即在信开头并不直接给出坏消息，而是以一个积极的、至少是中性的事实开始信件；然后提供相应的背景信息，提出原因或给出解释；在前两部分的铺垫下，第三部分才进入主题，提到坏消息；第四步则应表现出对对方的关心，提出一个解决该问题的可行性建议：最后可加上一个礼貌的结尾，帮助对方更自信，以期今后保持更好的合作关系。在遣词造句上，这类信函经常采用委婉的语句，避免直接表达；选用正式语言和词汇。表示极大的尊重；多用表示悲观、道歉的词语来减小对对方所施的压力。

其三，劝说性信函的目的在于说服对方认可写信方的观点，或者说服对方采取具体行动，此类信函主要是推销信和催款信。在说服的过程中礼貌起着至关重要的作用，只有礼貌有加的信函才会给对方一个好的印象，使对方有接受劝说的意愿在推销信中．多使用积极的礼貌策略，包括强调自己和对方的共同之处、提高对方的兴趣、注意对方的需要和夸张自己对对方的兴趣、赞同、同情等来迎合对方的面子；而在催款信中，多使用消极的礼貌策略来保全对方的面子，包括说话迂回、尊重对方、避免突出个人和减小对对方所施加的压力等，将对对方面子的威胁程度降到最低。

第一节索取入学与奖学金表格申请书信范例

索取入学及奖学金表格是申请程序的第一步，这一步比较简单容易。只要学校初选名单确定下来，便可发函索取表格。索取申请表格的信函格式与商业书信大致相同。这类申请信函最好寄到单位，而不要写给个人，以免因工作调动而耽搁。以美国大学为例，申请的受理单位可能有以下几种：

1.由Office of Admiions统一受理一切入学申请函件，包括大学部与研究生院；

成功的申请可以帮助你按自己的条件进入最合适的学校，是不可忽视的一项，个人简历是反映一个申请者自身情况的材料。国外绝大多数的学校都要求申请者提供，并作为审查批准入学的重要依据之一。

个人简历的英译很多，如“Personnel Vita”、“Autobiographical Statement”、“Personal Statement”、“Autobiography”、“Resume”。其中

“Resume”写法稍有不同。个人简历一般应简要写明本人所受教育、专业兴趣、工作经历、所取得的成绩及家庭背景。

有关个人简历写作的注意要点。综合各校的要求，特做如下分析：

1.个人简历的结构可分为三或四个段落。第一段落简单交待自己的个人情况

，如姓名、出生时间及地点、家庭背景等。良好的家庭教育对你的成才当然有利。但美国对此不很重视，一般可以不写。第二段可以围绕你的求学经过来展开，但不要用流水帐式的写法使叙述过于生硬刻板。第三段以你的大学生活为主，你为何选此学科，可以与前面的叙述相呼应。第四段要说明你个人的能力、性格。 2.内容要着重在你留学的动机，目前所取得的成绩，你终生的目标。

读书计划是入学审查的一项重要文件，它是申请人未来导师无法直接面对申请人之前，所得到的先入为主的印象，第一印象往往事关重大。读书计划英文有许多说法如Objectives, Plans for Study, Academic Statement, Academic Objectives, Educational Goals, Statement of Purpose, Letter of Intent等。它应包含：

1.选择该校的理由； 2.准备主修什么学科；

3.集中研究该学科的哪一方面；

4.与主修和主攻方向有关的知识背景和工作经验； 5.从事该研究的目的和毕业后的打算。

第四节推荐信范例

大多数学校都要求申请人提供二至三封推荐信。有力的推荐是录取的重要条件之一。推荐信要客观、公正、切忌流于形式，内容空洞，要与申请人的其它材料（如成绩单）等相符。推荐信也应注意格式、文法等。因为向来有“名师出高徒”之说。推荐信的格式与一般书信基本相同。有信头，发信日期，收信人姓名，称呼，正文，信尾谦称，签名，推荐人姓名，职称及工作单位等部分。但推荐信还应着重以下方面：

1.为了便于校方查阅，必须提到被推荐者的全名。

2.必须交待与被推荐者的认识期间（何时开始认识或认识多久），认识程度（偶尔见面或密切接触）及关系（师生关系，上下级关系，同事等）。

3.对被推荐者的优点介绍及评价，这是推荐信的核心。主要包括被推荐者的天赋，学习成绩，研究能力，工作经验，学习精神，组织能力，品行及个性方面。 4.必须表明推荐人的态度，是极力推荐还是有保留地推荐。

最近一些学校出于各种原因，设计了推荐表格，由推荐人填写，但其主要内容也和推荐信涉及的相同。

第五节各种证明材料

证明材料一般出自有关单位，文字应规范、严谨，并加盖有效印章。申请者应提供的证明材料主要有以下几种：

1 学历、学位证明，主要是大学、研究生毕业证书，硕士学位证书，博士学位证书；

2.成绩单，成绩单是任何申请人都必须提供的，我国大专院校的成绩评定大多采用百分制，而美国则以采用等级制为多，其平均值通常用平均成绩点数（GPA）表示，因此，必须注明所采用的记分方法，最好能提自己在班级所排名次，现在，美国大多数学校都要求申请者通过ETS直接提供TOEFL或GRE成绩： 3.财力证明；

当申请人按照学校规定提供各种材料以后，并不能就此静坐等待结果。在绝大多数情况下，还得与对方学校保持联络。所寄去的材料也未必完全符合对方的要求，如有这种情况，对方会来信要求更正、补充或处理。可能发生的问题很多，其中常见的包括：

1.不接受成绩单复印件；

2.TOEFL、GRE或其他考试成绩未收到—— 多数学校对这些成绩只承认ETS寄去的正本，而不接受申请人提供的成绩单。但ETS处理需时最少六星期，这种延迟常被对方认为未收到；

3.TOEFL成绩低于标准，要求重考—— TOEFL成绩最低标准470分到550不等；

英文书信格式：

英文书信通常由下列五个部分组成：

A 信头（Heading）包括写信人地址和写信日期，通常写在信笺的右上角。在比较熟识的朋友之间的通信，写信人的地址常可略去。地址的写法通常是由小到大，如：门牌号、街道名、市（县）名、省名、国名（邮政编码通常写在城市名之后）。这同中文书信的地址写法完全相反。日期写在地址的下方，可以写1～3行。通常有下列两种定法：（a）月、日、年（美式）：如August 15, 200__ （b）日、月、年（英式）：如15th august, 200__ ，月、日的后面用逗号,年份后面不用标点。

B 称呼（Salutation）指写信人对收信人的称呼，如Dear Xiaojun，写在日期下一两行，顶格写，称呼后面可用逗号，也可用冒号，一般用Dear…或My dear…开头。

C 正文（Body）这是书信的主体部分，即写信人要表达的内容。正文一般在称呼下方隔两行处开始写，正文的首行左边一般留约5个字母宽的空白。

D 结束语（Complimentary Close）它是书信结尾的恭维话，相当于文中书信最后的“祝好”、“致礼”之类的话语。如 “Best wishes”等

E 签名（Signature）签名通常签在结束语下方的中间偏右的位置，即使是打写机打出的信件，最后仍需亲笔签名，签名由写信人和收信人的关系和亲疏程度而定，一般只需写名不写姓，但若用了较庄重的结尾套语，此时可签全名。在签名的上方可根据写信人和收信人的关系写Sincerely yours/Yours sincerely（用于长辈或朋友之间），或Respectfully yours/Yours respectfully（用于对长辈或上级），注意开头字母要大写，末尾要用逗号。申请信

申请信写法：

开头：说明写信目的(申请原因)，信息来源，对所申请工作或学校的认识，自己的打算。主体：着重介绍自己的背景(教育情况，工作经历，兴趣爱好，特长等)。求职信先介绍工作

经验，要突出个人能力及工作业绩；求学信要重点介绍自己受教育程度。总之，要努力使自己的介绍引起对方的兴趣。

结尾：表达自己的愿望，如希望得到面试机会等，语气要自信而坚定。

一、英文求学申请信的格式和正文内容(Application for Admittance)

英文求学申请信与普通信函的格式一样,包括信头(写信人的地址和写信日期)、收信人的姓名和地址、称呼、正文、结束语和签名.

求学申请信一般包括如下内容:

1.简单介绍个人的情况,包括学历、工作经历、研究经历等;

2.说明所申请的专业和希望入学的时间;

3.请学校寄入学申请表和有关资料;

4.请学校介绍入学条件和要求;

5.若申请经济资助,可要求学校寄经济资助申请表;

二、英文求学申请信的写作要求

1.应符合英语信件的格式,表达方式符合英语习惯;

三、英文求学申请信正文部分的行文技巧

正文部分一般可以从三个方面组织内容:

1.用简短的开场白明确陈述写信的目的,即申请什么专业和学位,从何得知申请信息等

入学申请应明确说明申请何类性质或何种学位的课程,准备何时入学等;

2.主体段用来概述自己的情况,包括年龄、专业、学历、资历、特长、兴趣等,旨在给

对方留下深刻的印象.即使附有履历也应在主体段总结说明自己的基本情况,强调自

己具备充分的申请资格.

3.结束段主要用来敦请对方关照,说明附件.根据需要,还可以在主体段与结束段之间

增补段落,说明其他具体情况,如外语水平、获奖情况、经济能力等.
