接待安排策划

关键需要在接待计划、礼宾次序、迎送陪同等三方面做得面面俱到。

1、沟通准备

就主办单位的总体构思和细节要求进行认真沟通,全方位考虑。(两种以上方案)

2、会议策划

根据主办单位的会议要求,提供会议所选酒店情况、用餐地点、会场布置、交通工具、会务接待、设备租赁、考察线路等详细描述。并对方案进一步沟通,进行可行性分析,力求达到主办单位的预期效果。

3、实地考察

根据需要安排主办单位相关人员进行实地考察,对会议酒店、会议场地、接待流程、其他事项等进行考察商榷,对方案中的不完善部分进行补充和调整,确认彼此的分工。

4、合作确认

双方对方案和流程彼此都无疑义,按照约定签订合作协议,以书面的形式确认双方的责任、权利和义务。

5、协议执行

协议签订后双方严格按照约定执行,保证会议各项工作的顺利进行。在协议签订后,如果主办单位需要增加协议之外的服务视为协议的补充,需要再补签协议,补签协议是对原协议的扩展,都是有效协议,补充协议也是有效的结算凭据。

6、会议结算

会议结束后,承办方财务将会议的相关单据分类、自审,做出明细账目交主办单位的负责人及财务审核确认,按照协议约定结清款项。

(一)会前准备

1】实地考查

会议召开前一个月,派专人陪同考查团实地考查提供推荐的会场、入住酒店、就餐餐厅、旅游线路。在考查过程中,双方就会议安排方面的细节做进一步的协商,敲定会议最终方案。 2】会场布置

会议召开前一周内,与会场提供方就会场布置方面进行具体设计安排,会议召开前一天将会场按会议要求安排布置妥当。

3】会议设施

在会议召开前,就会议所需设施进行制作、租用、安排。如:平面立体、AV设计、代表证制作、接机牌、车牌、车贴,贵宾鲜花花环、酒店外景空飘、彩虹门、刀旗、灯笼立柱、横幅、汽球编花、鲜花墙、礼仪、接待台、接待台卡、笔记本电脑、激光打印机、复印机、传真机、装订机、专业桁架(平面、立体)、特装搭建(舞台、背景板、展台)、会议日程展架、易拉保、各种指示牌及通联对讲机。

4】参会人员报到

参会人员到达之前,参会人员入住的酒店大堂内的会议报到。

5】、会议召开

专业会务人员配合会务组进行具体的会议操作。

6】票务信息提供

及时准确提供机票、火车票信息。

(二)会中服务:

1】提供专业外语翻译,摄像,礼仪公关和文秘服务。

2】免费提供经验丰富的接待人员全天协助会务工作,(包括办理代表签到、接待、资料整理分发、分房、展台规划及会场布置等工作)。

3】会议期间可为VIP客人提供特殊照顾和服务。

4】向参会人员提供全市范围内机场、火车站接送服务。

(三)会后总结:

1、优惠价格安排参会代表的会后旅游考察工作。

一、迎接礼仪

迎来送往,是社会交往接待活动中最基本的形式和重要环节,是表达主人情谊、体现礼貌素养的重要方面。尤其是迎接,是给客人良好第一印象的最重要工作。给对方留下好的第一印象,就为下一步深入接触打下了基础。迎接客人要有周密的布署,应注意以下事项。

(一)对前来访问、洽谈业务、参加会议的外国、外地客人,应首先了解对方到达的车次、航班,安排与客人身份、职务相当的人员前去迎接。若因某种原因,相应身份的主人不能前往,前去迎接的主人应向客人作出礼貌的解释。

(二)主人到车站、机场去迎接客人,应提前到达,恭候客人的到来,决不能迟到让客人久等。客人看到有人来迎接,内心必定感到非常高兴,若迎接来迟,必定会给客人心里留下阴影,事后无论怎样解释,都无法消除这种失职和不守信誉的印象。

(六)将客人送到住地后,主人不要立即离去,应陪客人稍作停留,热情交谈,谈话内容要让客人感到满意,比如客人参与活动的背景材料、当地风土人情、有特点的自然景观、特产、物价等。考虑到客人一路旅途劳累,主人不宜久留,让客人早些休息。分手时将下次联系的时间、地点、方式等告诉客人。

二、接待礼仪

接待客人要注意以下几点。

(一)客人要找的负责人不在时,要明确告诉对方负责人到何处去了,以及何时回本单位。请客人留下电话、地址,明确是由客人再次来单位,还是我方负责人到对方单位去。

(二)客人到来时,我方负责人由于种种原因不能马上接见,要向客人

(三)接待人员带领客人到达目的地,应该有正确的引导方法和引导姿势。

1、在走廊的引导方法。接待人员在客人二三步之前,配合步调,让客人走在内侧。

2、在楼梯的引导方法。当引导客人上楼时,应该让客人走在前面,接待人员走在后面,若是下楼时,应该由接待人员走在前面,客人在后面,上下楼梯时,接待人员应该注意客人的安全。

3、在电梯的引导方法。引导客人乘坐电梯时,接待人员先进入电梯,等客人进入后关闭电梯门,到达时,接待人员按“开”的钮,让客人先走出电梯。

4、客厅里的引导方法。当客人走入客厅,接待人员用手指示,请客人坐下,看到客人坐下后,才能行点头礼后离开。如客人错坐下座,应请客人改坐上座(一般靠近门的一方为下座)。

(四)诚心诚意的奉茶。我国人民习惯以茶水招待客人,在招待尊贵客人时,茶具要特别讲究,倒茶有许多规矩,递茶也有许多讲究。

三、乘车礼仪

(一)小轿车。

1、小轿车的座位,如有司机驾驶时,以后排右侧为首位,左侧次之,中间 座位再次之,前坐右侧殿后,前排中间为末席。

2、如果由主人亲自驾驶,以驾驶座右侧为首位,后排右侧次之,左侧再次之,而后排中间座为末席,前排中间座则不宜再安排客人。

3、主人夫妇驾车时,则主人夫妇坐前座,客人夫妇坐后座,男士要服务于自己的夫人,宜开车门让夫人先上车,然后自己再上车。

4、如果主人夫妇搭载友人夫妇的车,则应邀友人坐前座,友人之妇坐后座, 或让友人夫妇都坐前座。

5、主人亲自驾车,坐客只有一人,应坐在主人旁边。若同坐多人,中途坐前座的客人下车后,在后面坐的客人应改坐前座,此项礼节最易疏忽。

6、女士登车不要一只先踏入车内,也不要爬进车里。需先站在座位边上,把身体降低,让臀部坐到位子上,再将双腿一起收进车里,双膝一定保持合并的姿势。

(二)吉普车

吉普车无论是主人驾驶还是司机驾驶,都应以前排右坐为尊,后排右侧次之,后排左侧为末席。上车时,后排位低者先上车,前排尊者后上。下车时前排客人先下,后排客人再下车。

(三)旅行车

我们在接待团体客人时,多采用旅行车接送客人。旅行车以司机座后第一排 即前排为尊,后排依次为小。其座位的尊卑,依每排右侧往左侧递减。

(一) 接待礼仪、常用英语

1) 有外宾来访时,首先应该了解对方的车次,航班,安排以及客人身份。

2) 我们作为主人,去接外宾时,应提前到达机场或车站等待,绝不能让客人久等。因为客人来时,看到有人迎接,心里必定高兴,反之,则会留下心中阴影,事后无论怎样解释,都难以抹去这种失职和不守信誉的印象。

3) 车抵达时,迎上前开门,莫慌,面带微笑,等领导先说话,然后再进行自我介绍,同时记得要先对客人说“一路辛苦了”之类的话。

4) 接待方应提前准备好外宾的住宿以及行程,并打印一些资料给外宾,如地图,景点。
