此致敬礼!食品科学与工程0702(民族班)全体学生2008-4-1 时光飞逝,转眼间我们的大学生活即将结束,而我也将开启我作为一名建设者的职业生涯,在此我作为一名即将毕业的应届毕业生,我将把我在大学三年里的一些经历做一下总结:首先,刚刚来到大学的时候,我作为一名贫困生,深知自身家庭条件不如身边的同学们,但我从未因此而气馁过,而且在我们大学初始的军训生活刚刚结束的时候,经过班级同学们的层层选拔,我成为了班级的团支部书记,但我知道我应该用我的实际行动来争取周围身边同学对我的认可,更不要辜负我的老师和同学们对我的期望,果然我作为一名班级干部在接下来大学里的第一个学期里带领同学们办好团活以及政课等活动的同时,我还致力于我的各门学科的学习,业余时间我还经常会同我的同学进行一些体育运动(例如:篮球、足球等),期末的时候,我的学习成绩也是排在班级前茅,并且获得了学校的二等奖学金。

电子邮件早已成为人们联系新客户的最常见、最方便、最简单,最节省,事实上也是最有效的方式;

说其“最常见”,因为差不多90%的出口企业在网上联系新客户都会选择先发送电子邮件;

说其“最方便”,是因为只要你能上网,则你随时随地都可以联系新客户;

说其“最简单”,是因为发个邮件是最简单不过了,无非是在你邮箱里写点内容,轻点发送,则就可能很快收到外商回复;

说其“最节省”,无非是因为发个电子邮件几乎就不用花你一分钱,而传统的传真方式则总是要花掉你不菲的电话费;

而说其“最有效”,也是因为据我们了解,在本网会员中,有超过90%的会员一般都是首先通过电子邮件联系上新客户的,故“最有效”的称谓应是名符其实,并无夸大;

然而,给一个新客户发第一封联系邮件,看似并不复杂,但其中仍有很多奥妙与诀窍,同样是用邮件在同一时间联系同一个新外商,为什么外商会回复他而不理你?显然与你如何撰写该邮件有着很大的关系,我们也发现,既使是不少的“老外贸”,在写给外商的第一封邮件时也存在不少的问题与漏洞,故就难免常常抱怨外商回复不多;

一,第一次用邮件联系的基本原则;

1,时效性;

这自然是指你联系客户的时间问题,越早联系外商则外商回复的概率越大,该道理大家都明白,更进一步的说,不管你写的邮件如何的好,你的报价如何的有竟争力,如你联系外商的时间太迟,则也许你一切的努力最终都会没用,所以,一定要尽量在第一时间联系外商,是我们给你的第一个忠告;

2,针对性;

这是指你写给外商的邮件内容应尽量针对外商 询盘 的内容来写,泛泛的联系邮件并不容易得到外商的回复,而如果你的邮件内容并没有回答外商在 询盘 已提出的全部要求,则情况也不可能太妙,如外商明确说明只欢迎manufacturer联系,而你的邮件内容却明白让外商知道你只是个贸易商,你想外商会回你吗?所以,你在写邮件前,请一定要多多、仔细研究外商的 询盘 内容,而在写邮件时或发送前,你更要多看看,你的邮件内容完全达到了外商的要求了吗?

3,简洁性;

这是指你写给外商的邮件长短,千万不要以为你写的邮件越长,外商就更会回复你,恰恰相反,你写的邮件必须要简洁,切勿废话连篇,特别是忌讳太长的自我介绍而迟迟不进入主题内容,那么,什么才是外商最关心的主题内容呢?除了外商在询盘中列明的要求外,我们认为,产品的规格和你的报价就是所有外商最关心的

内容;

4,灵活性;

这是指你要按照具体情况来调整你的邮件内容,对不同的情况、不同的询盘、不同的外商、甚至不同国别的外商,你的邮件内容自然应该灵活处理,而不必千篇1律,如,如外商的询盘内容具体而很实在,则你的邮件也须具体而很实在,报价也应报实价,相反,如有些外商的询盘本来就很虚,而你只是想碰碰机会,则先泛泛联系一下也无妨;

5,准确性;

这是指你写给外商的邮件内容必须准确,如外商在询盘中要求你报 CIF 价格,则你千万不要偷懒只报过去一个 FOB 或C+F价格;客户明明白白说要的是A规格的产品,你却报过去一个B规格的产品;外商要求你在报价时须附上图片,你却偏偏缺少图片就报将过去,等等,你想,外商还会回复你吗?

6,竞争性;

这是指你报给外商的价格须有竟争力,很多人总是抱怨外商回复甚少,却甚少检讨一下你发给外商的邮件中有报价吗?如有的话,你考察过没有,你的报价真的有竟争力吗?想知道你的报价有没有竟争力,其实有很多办法核实,如,你不妨找几家正在自营出口的厂家,让他们都报一个出口美元价(不是人民币出厂价)出来,或者现在到处都有 海关 数据出售,去买一套该产品最新的 海关 数据,查查国内同行目前实际的出口成交价是多少,你自然心中才有数!

7,严谨性;

这里主要指语言问题,我们认为,商业邮件也就相当于传统的商业信函,语言自然要正确而严谨,写错一个字母看似问题不大,但偏偏有些外商也许就会认为你不认真,而有些英文 单词 错一个字母也许其意思就差的太远,徒增外商的困惑;有些用词如把握不当也可能让外商产生不必要的误会,如你的报价确是你的最低价或是实盘,则在你的价格加个Firm 或Rockbottom就应该很有必要,相反,如你的报价本来就颇有水分,加上该两个 单词 的后果很可能就是外商对你的绝望而不可能回复你;就是标点符号也不可乱用,与中文一样,同样的两句话,使用不同的标点其含义也许就完全不一样;

1、川上商事営業部各位様 (误) 川上商事営業部各位 (正) 有关公事文书上的复数称呼,很多人使用「(会員)各位様」或「各位殿」这样的表达方式。将「各位」与「様」、「殿」搭配使用。这其实不妥,因为这样使用就变成了双重敬语。

那么与「先生」同属于敬称的「社長」、「課長」及「局長」之类职务名称也可以用吗?上述职务名称可以叫作敬称,但作为收信人的姓名,是不能用「××課長」这种称谓形式的,如果是普通信件,要用「斎藤課長様」、公文则用「斎藤課長殿」这种形式表敬。在业务信函上,对「社長」这样的公司最上层领导人,用「様」也无可非议。

另外,信中用「××様」称谓,信封就不要用「××先生」,两者务必一致。

3、追伸,先生,このたびは教授就任おめでとうございます。(误) 先生,このたびは教授就任おめでとうございます。 (正) 在给上级、尊长的信中写有「追伸」这样的词语,是很不礼貌的。

日语书信的「添え書き」(追记文),也叫「追伸」。就是把正文中漏掉的,或没有充分说明的事,再补充写上的意思。

除用「追伸」之外,还有写「追白」、「追啓」的。

书信补充内容的开头语,除用「追伸」之外,还可用「二伸」、「三伸」、「なおなお」以

及「追って」等表现词汇。

给上级写信,加追记文是失礼的,如果漏掉了有关事项,最好是重写一遍。将诸如「追伸」、「添え書き」、「追白」、「追啓」等字样,用于写给上司的书信中,亦属敬语表达不当。

除给上司以外的信,用「追伸」是允许的,有人就随心所欲,「四伸」、「五伸」地不断增加。年轻人用「p.s」的也很多。这是不应该的。应有所限制。

此外,庆贺信、吊唁信都不能写“追记文”。这是因为「追伸」也属忌讳语,别名又叫「返し書き」。结婚是不要重复的,可以说「追伸」对结婚这件事是晦气词。因此,不要在庆贺信、吊唁信中「繰り返し」用之。

信函中的接续词,还要避忌使用「また」「なお」这两个词。

4、深くおわび申しあげます??。田中一郎 (误) 深くおわび申しあげます??。営業部部長田中一郎 (正) 写信格式正确与否,最能展示写信人的素质。尤其是有关道歉信的书写方式,切不可掉以轻心。

理由是,给对方添了麻烦,致以诚挚的歉意,这是理所当然的事。 因工作上的原因写道歉信事,需要注意的是一定要写上一位具有代表性发信人的名字,也就是最高负责人的姓名。即便不是其本人所写的信,出于礼貌和诚意也要注明负责人的姓名。这是为了明确责任。如果不写上负责人的姓名,容易被认为是私下处理了。

5、木下研究所々長 (误) 木下研究所所長 (正) 不仅限于书信,在其他公文中也是如此,敬称的同字重叠,用重复符号写是不妥当的。比如,「化学研究所々長」的职务名称「所長」写成了「々長」,这不是敬称的标记形式。 同字重叠,自然也是不礼貌的。

首段:重述自己做错的事,表示歉意。

如何给领导写邮件

按发邮件程序打开邮箱,点写信——收信人——主题——添加附件——发送。打电话通知收信

写信则按写信的格式好了

(1)称呼 写一封信,先要把收信人的称呼顶格写在第一行,然后,再在后面加上冒号,表示下面有话要说。

(2)问候语 问候语要写在称呼的下一行,空两格。它可以独立成为一段。

(3)正文 正文一般分为连接语、主体文、总括语三个部分。每一个部分开头都应另起一行,空两格落笔。

(4)祝颂语 祝颂语是表示致敬或祝贺一类的话,如\"此致\"、\"祝\"等。它可以紧接着正文写,也可以独占一行,空两格写。另外,在写与\"此致\"和\"祝\"相配套的\"敬礼\"、\"健康\"一类表示祝愿的话语时,一般要另起一行顶格写。

(5)署名 写完信之后,在信的右下角写上发信人的姓名叫做署名。在署名的前面一般还要加上合适的称谓,如\"同学\"、\"好友\",\"弟\"\"妹\"等。

(6)日期 发信的日期可也可以另起一行,写在具名的下边。

奏折系统,跟现代公司里面的邮件系统有着异曲同工之妙。各种拍马屁,戳脊梁骨,请功述过,嘉奖任免,都通过这个系统上传下达。能直接上奏的官员,在今天看无不是999千足金领,我们不妨发挥一下八卦精神,一探这些金领前辈在与领导书信沟通之中留给我们的过失启示。

奏折,是古代帝王和官员沟通的主要工具。这些原有的朝廷机密,现今已大量公示天下,无需摆案焚香、磕头谢恩便可任君阅读。而奏折系统,跟现代公司里面的邮件系统有着异曲同工之妙。

各种拍马屁,戳脊梁骨,请功述过,嘉奖任免,都通过这个系统上传下达。能直接上奏的官员,在今天看无不是999千足金领,我们不妨发挥一下八卦精神,一探这些金领前辈在与领导书信沟通之中留给我们的过失启示。

搞清自己的身份

雍正元年,湖广总督杨宗仁给新主上了一道精心准备的请安奏折。这个折子的内容与其他所谓请安折无异,正文只有“请皇上圣安”五字,类似于今天英文里的“just to say hi”。但杨宗仁是下了心思去奉承这个新主的,奏折封皮黄綾上画了跃在寿山福水之中的五爪腾龙,腾龙角上绘霞彩龙珠,龙珠中书“奏”,煞是好看。

可惜,此番苦心并没有获得垂青,反倒是抬头“湖广总督奴才杨宗仁”被雍正爷像小学语文老师改作文一样,用朱笔圈起了“奴才”二字。并在旁边改正为“臣”。为了避免这个不上道的大臣不明白,还语重心长地加上一句“向后称臣得体”。原来按照清例,汉臣连称奴才的资格都没有。

这个热脸贴了冷桃子的故事告诉我们,给上级写邮件,首先要搞清楚自己的身份,切勿随便用称谓套近乎。我司新人小红刚进公司那个月,就曾用淘宝体回复资深总监的邮件,唤之曰单字“亲”。该邮件所求之事也理所当然地被断然拒绝,还成就了公司茶余饭后一著名段子。

取一个恰当的题目

在现存的清朝奏折当中,绝大部分都是上述所谓请安折。可以想象,天朝地广臣众,作为臣子的不三天五头“just to say hi”,过两天主上就要忘了此号人,便无从谈仕途了。因此,请安,既是礼仪也是利益。

康熙朝规定,除了请安折外,其他折子封面不得用黄綾的,可见主上对于大臣空洞无物的打招呼习惯其实也是很乐在其中的。康熙五十七年,湖广总兵高其位奏报破获地方抢匪的奏折在折面上裱了黄綾。这本来是一个请功帖子,不想康熙爷的焦点完全不在高总兵如何智勇双全上,而是御批:“知道了。凡奏折不是请安用不得黄面黄封”。

相信那些在大公司工作的人都能多少理解康熙爷的心情。因为每天收到的邮件实在是太多,常常不能按顺序一一阅读。于是不同的人往往随着当天的心情不同有不同的阅读习惯。外企中就有在邮件开头标注FYI (for your information)和FYA (for you ractions)的习惯,以让那些日理万机的领导区分邮件的性质到底是只是知会性还是要求马上处理的。

不难想象,皇上跟领导一样,心情不好的时候会先挑选那些知会性,特别是只是联络感情的请安帖子来看看缓冲心情。没想到在一声声亲切的问候当中居然夹杂了一个折子说天朝盗匪横行,心情当然是不爽的。

因此我们给上级写邮件,一定要在邮件的题目就说明白邮件的主旨,到底是联络感情,知会,还是要求得到帮助和解决。这就像给奏折选对封皮,不仅能帮助清晰表达自己的意思,还少受无妄之灾。

慎用紧急等字眼

在不少古装电视剧里面都会有这样的镜头。常常是一个使者,有时候背上还插着两根箭,下马奔到皇上面前,大呼一声“八百里加急”,然后呈上文书吐一口血晕倒当前。而事实上,皇上看到所谓八百里传递的奏折的机会比我们在电视上看到的还要少。天大的事情诸如太平天国的重要战役,才用得上所谓的八百里加急。

根据事情的轻重缓急,负责传递重要奏折的驿站提供三百里、四百里、五百里、六百里的不同速度投递服务。乾隆三十五年,署理云贵总督彰宝启动驿递,以日行六百里的速度回奏了缅甸边防的情况,虽然涉及国防用兵,但还是得了乾隆爷“此寻常覆奏,何亟亟六百里为也。”

今天的邮件系统虽然都是一秒送达,无所谓几百里之分。但是作为下属,我们仍然要慎用邮件系统里面的重要邮件标注、或者“紧急”等字眼。在云贵总督的反面案例里,虽然所奏事情已经涉及边境防御,对于一个云贵总督而言已经是头等要事,但是总督大人没能从皇上的角度去考虑这个事情的重要程度。

同理,如果我们丝毫不考虑邮件对于阅读者的真正价值,经常随意添加重要标签,狼来了效应就不免会发生,等真正重中之重的事情发生的时候反而会得不到及时的注意,也会给领导留下不够沉稳,咋咋呼呼的印象。

总而言之,所谓“有事早奏,无事退朝”,给领导写邮件宜尽量精简到点,务求把事情说清楚。那些联络感情的请安帖,在现代社会大可以留给微博、微信、短信就可以了。虽然手机打字比较费事,可幸所需字也不多——“恭请领导圣安”足以。

take a specific action, such as: approve an investment proposal, provide information, agree to provide a testimonial, or accept an

invitation.So, if your text doesn’t get

your reader to act as you intended, you have wasted both your and her time.Below you’ll find seven tips to help you be a better email writer, which I have drawn from my 25 years’

experience as a strategy consultant.

What these seven tips have in common is that they focus on the psychology of the reader.Why is that important? Tip 2.Stand out in a crowded inbox by using clues.Busy as businepeople are, they cannot afford to think too long about every decision they have to make.They often make fairly automatic decisions based on past experience or just one written clue that is presented to them.It starts with simple things like the subject header of your mail: it should convey opportunity and benefit to the reader rather than effort and goodwill from him.For example, when you write an email to solicit participation in a benchmarking exercise, the heading ―Study‖ may evoke more dreadful aociations than ―How to improve performance.‖ More profoundly, make yourself likeable to your reader, for example, by referring to shared interests or flattering him.Of course you’re walking a fine line: you don’t want to mislead, deceive or manipulate your readers; you simply want to convince, persuade and facilitate.

Tip 3.Personalize your meage.There are occasions when you have to send eentially the same text to several readers, such as when you need data from several colleagues to build a busine case.

Tip 7.Work and work again on your text.There is no escape.Writing a high-quality text takes effort and consequently time.Consider Thomas Edison’s most endearing maxims: ―Opportunity is mied by most people because it is dreed in overalls and looks like work.‖ The opportunity relates to the return you might get from spending a bit more time on raising the quality of your text.Chances are your audience will

职场邮件的十大忌讳,你犯了吗?

每天收到许多邮件,虽然懂得邮件礼仪的人逐渐多了起来,但是跟基数相比,写得很符合职业规范的却寥寥无几,甚至有的人完不成工作、达不成合作、以致造成误解却不知道什么原因。

基于多年在职场的经验,总结了受欢迎邮件的写法,供大家参考。

一忌不称呼

不少人写邮件一上来就直接说事情,给人的感觉是“你应该知道我是谁”;有的至多用个“你好”,这些都是不礼貌的做法。

正确的做法是:如果对方有职位要称呼职位(姓氏+职位);如果不清楚职位,可用姓氏+先生/小姐。当然十分熟悉的情况下,可以用双方习惯的称呼方式,而这种情况仅限于非正式邮件。值得注意的是,通常用“您好”比用“你好”更有礼貌,除非确定自己是上级或长者。

二忌乱称呼

比较忌讳的是管所有人都叫经理,普通员工自然很高兴,但会冒犯比经理职位高的人。

通常称呼他人可省去“副”字,但尽量不要跳级,更不可给别人降级。例如对方是副经理,可以称呼“姓氏+经理”,但不要称呼“姓氏+总”;而如果对方是副总裁,则不可称呼对方为经理或总经理。

三忌回复所有人

通常只需要答复发件人,很少有需要全部回复的情况,尽管对方可能同时发给了很多人。为了减少给别人带来的不必要麻烦,用“回复”功能即可;如果很有必要抄送给其他人,则尽量自己根据实际需要有选择性地写上去。

尤其需要注意的是,好的事情可以抄送给他人,不好的事情尽量一对一处理;这与表扬当众,批评不当众是一个道理。当然,那种利用便利的往来邮件打嘴仗的行为只能影响个人形象。

发件人为了避免出现对方随意点击“回复所有人”的不职业情况,可以把大批量的收件人地址放在“密送”处,然后在正文起始位置写上收信人的群体名称,例如“致:各事业部

四忌把老板列为收件人之一

常见人们写信,几个收信人中,自己的老板是其中一位,这通常会被老板认为不太尊重他。

如果是写给老板的信,则需要单独写给他,无须抄送其他人。当然,更不能写给老板的同时,抄送其他人。我曾在不少培训的场合问过学员,如果他们是老板收到类似的信会有什么反应,他们认为有不被信任的感觉,甚至有威胁的味道。

如果需要老板了解某个相关的事项,则致他人的同时,抄送给老板比较妥当。例如需要就一个提案征求大家的建议,则可以写给大家抄送老板;若需要同时征求老板的意见,则需单独写给老板,或在抄送的同时,在正文中单独写一段“请老板指教”的话。

五忌人名不排序

收件人(包括抄送人)若为一个以上,不论在邮件地址位置,正文位置,还是附件内,均需要排序。

最讲礼仪的方式是按照职务高低排序,同样职位按姓氏字母顺序排,不了解职位时可以按照字母顺序排,但重要邮件不建议这样做,尤其是重要客户。

有内外之别时,以客为先。

六忌不分段

有的人整篇邮件从头至尾写成一大片,象小说一样,给人眉目不清晰的感觉,不想看下去,从而自然影响处理的效率。

推荐的方式是,尽量在一个显示页面完成全文,一段一个核心意思,然后空行写第二段;如果说的事项较多,建议加上序号,但一次最好不超过三项,否则不容易记住。

当然,如果能根据收件人的具体情况调整字号大小、字体样式等,则为最佳。例如对方均是五十多岁的领导,可以适当调大字号,以便对方阅读,从而也提高了回复效率。

七忌重点不突出

现在的职场压力和信息的充斥已很难容许人们逐字逐句地阅读一个完整的邮件。所以写信人可以把最核心的词用突出标识加以强调,包括加粗、增大字号或换字体、颜色等。但公文中通常只允许黑色和蓝色,只有相当于海报作用时才可以适当用彩色。

邮件的标题至关重要,要行动性很强,只用核心词,去掉虚词。与行动、结果相关的字眼可放在句首的【】内,然后再写具体内容,例如标题可写为“【请9日前确认】xx会议日程”。

八忌不感谢

有些人没有感谢的习惯,而这往往是邮件回复率低的一个主要原因。不论是寻求合作、请教问题、请人帮助,还是只是告知,都可以感谢对方的善意或配合。即便是领导命令对方与自己合作,说句感谢只能表明自己有修养;更何况自己请对方帮忙呢。

九忌多重结束语

常见不少人在信的结尾同时写上几种问候,诸如“祝好”、“祝一切顺利”、“祝工作愉快”等等(还有用英文写best regards,all the best,have a nice day)。其实,一句最恰当的结语即可。

有时候,很明显地可以看出发件人事先设置好了签名档,里面已有问候,那么在发送之前务必仔细检查,否则会给人留下粗心的印象。

避免上述情况的方法,可以在签名档中去掉问候语,只留签名和联络方式,因为大多时候的问候是因人而异的。

十忌不署名

不署名,言外之意,对方应该能从邮件地址判断出自己是谁,或者“不用那么客气”,而这样做会给对方造成很多不便,也较影响办事效率,想打电话沟通具体事宜时,还需要再查找。

发件人切忌以自我为中心,自认为了解对方的圈子,其实不然,有时真的不知道是谁发来的邮件(更不用说现在有那么多酷极了的网名),耽误了事情。

署名是尊重对方也是尊重自己、宣传自己的方式。而且最好事先设置好签名档,附上自己所有方便的联络方式,一劳永逸。

以上的一些规则同样适用于写短信,例如要称呼对方、要署名,要一次性地站在对方角度写清楚具体内容(最常用的恐怕是见面具体地点、周围明显建筑物、联络人及电话等)。

一、忌不称呼

不少人写邮件一上来就直接说事情,给人的感觉是“你应该知道我是谁”; 有的至多用个“你好”,这些都是不礼貌的做法。应该是:如果对方有职位要称呼职位(姓氏+职位);如果不清楚职位,可用姓氏+先生/女士,当然十分熟悉的情况下,可以用双方习惯的称呼方式,而这种情况仅限于非正式邮件。值得注意的是,通常用“您好”比用“你好”更有礼貌,除非确定自己是上级或长者。

比较忌讳的是管所有人都叫经理,普通员工自然很高兴,但会冒犯比经理职位高的人。 通常称呼他人可省去“副”字,但尽量不要跳级,更不可给别人降级。例如对方是副经理,可以称呼“姓氏+经理”,但不要称呼“姓氏+总”;而如果对方是副总裁,则不可称呼对方为经理或总经理。

八、忌回复所有人

通常只需要答复发件人,很少有需要全部回复的情况,尽管对方可能同时发给了很多人。为了减少给别人带来的不必要麻烦,用“回复”功能即可;如果很有必要抄送给其他人,则尽量自己根据实际需要有选择性地写上去。

尤其需要注意的是,好的事情可以抄送给他人,不好的事情尽量一对一处理;这与表扬当众,批评不当众是一个道理。当然,那种利用便利的往来邮件打嘴仗的行为只能影响个人形象。发件人为了避免出现对方随意点击“回复所有人”的不职业情况,可以把大批量的收件人地址放在“密送”处,然后在正文起始位置写上收信人的群体名称,例如“致:各事业部经理”等,有利于收信人清晰了解与自己同时收到邮件的还有哪些人,同时避免了垃圾邮件的产生。

九、把上级的上级列为收件人之一

收件人:邮件的送达人,事情的具体经办人。

抄送人:1)主管领导、部门经理及部门同事(业务相关抄送)。
